The knowledge already exists.
It is just scattered everywhere.

Some of it lives in people’s heads. Some sits in Word files, chat messages and old folders. That works until someone joins, someone leaves, or you urgently need an answer nobody can find. Corganize turns that scattered knowledge into a system your team can actually use.

Knowledge base

Your structure. Your way of working.

There is no forced course structure. Organise folders the way your business already makes sense, using your own names. As the company changes, you can rearrange everything whenever you need to.

  • One piece of content, several jobs. The same document can be an onboarding lesson, an internal knowledge article and a public help article. Write it once.
  • Sharing means access. Share a folder with someone and they can see it. No permissions maze to maintain.
  • Versions and history. See who changed what and when, and restore an earlier version in a click.

Onboarding

New starters know what comes next. You do not have to sit beside them.

Turn your existing material into a day-by-day onboarding plan. Set it up once for each team, and Corganize gives every new starter the right content automatically. You can see exactly where they are.

  • Day-by-day or self-paced. Add deadlines and automatic reminder emails. Their status updates as they complete the plan.
  • Real tasks with approval. “Make your first customer call.” A mentor reviews the submission before they move on.
  • More than a read receipt. Add questions to a lesson or full training plan and see the results straight away.
  • Bring the team in from a file. Use a template, upload it and see a row-by-row report. When someone leaves, their seat is freed while records and acknowledgements remain archived.

On mobile

The answer is there wherever the work happens.

Most teams do not spend all day behind a desk. The employee experience is built to work properly on a phone, not simply squeezed down from a desktop layout.

  • Pick up where you left off. Start on the commute, finish later. No hunting for your place.
  • Adjustable text size. Make it larger with one tap instead of pinching and zooming.
  • Contents in every lesson. Jump straight to the section you need.
  • Ask the AI assistant any time. Answers come from your own company material, with the source shown.
  • Company records on your phone. If someone asks for a document on site, you can pull it up there and then.

Importing

Do not start from scratch. Bring in what you already have.

You do not need to rebuild your knowledge one file at a time. Import a whole folder and Corganize keeps the structure you already use.

  • A full folder structure in one go. Subfolders are recreated and files land where they belong.
  • Word, PDF, Notion, Markdown. Images come across with the document.
  • File-by-file report. See what worked, what did not and retry only the failed items.

AI: audio and video

If you can explain it, you do not have to type it all out.

Process documentation usually gets postponed because nobody has hours to sit and write it. Talking through a task or recording your screen is faster, and Corganize turns that into a draft for you.

  • Talk, and AI writes it up. Explain it as you would to a new starter, even from your phone while you work.
  • Turn screen recordings into steps. Corganize describes what to do and where to click.
  • Keep the original audio. Anyone who would rather listen can still play the recording.
  • Always starts as a draft. AI never publishes on your behalf. You review, edit and approve it first.

AI assistance

Turn rough material into something people can actually follow.

Old Word formatting, giant paragraphs and copied notes do not make good training material. AI helps tidy them up so you do not have to rebuild everything by hand.

  • Format in one click. Break rough text into headings, steps and lists. You see the credit cost before you run it.
  • Process several lessons at once. No need to work through them one by one.
  • You stay in control. Compare the suggestion with the original and only accept it when you are happy.

Document vault

Find the important company document when someone actually asks for it.

Certificates, licences, agreements and other records live in the same system, in a protected area. If you need one during an inspection or meeting, it is there in seconds, even on your phone.

  • No separate document system. Images and PDFs open directly in Corganize.
  • Share a folder with your accountant. They only see what you have given them access to.
  • Control downloads separately. Sensitive documents can be viewed without allowing them to be downloaded.

Announcements

Do not just send it. Know who has seen and acknowledged it.

A new health and safety policy, handbook update or important process change should not disappear in an inbox. Corganize shows who opened it, who acknowledged it and who still needs a reminder.

  • Stronger acknowledgement. Employees type their full name, with a timestamp and the exact version of the document recorded.
  • You do not have to chase people. Corganize reminds anyone who has not responded.
  • Employees keep their record too. They can return to acknowledged documents whenever they need them.

Communication

Do not lose an important answer in the next hundred chat messages.

Employees can ask questions inside the same system as the knowledge base and onboarding. The answer stays connected to the place where the work happens instead of disappearing into another messaging app.

  • Delivered instantly. Messages appear straight away.
  • You will not miss them. If you are not logged in, you receive an email notification.
  • Private means private. Even the company owner cannot open someone else’s private conversation.

NEsther NaughtonI will look this afternoon.
Hi! I am stuck on lesson 4, where do I record the discount?
It is in section 3 of the order handling guide, sending the link.
Found it, thanks! And if it is over £50?
Then it needs manager approval. There is a box about it in the lesson.
Great, moving on then.

Your brand

Your team sees your company system, not another piece of software.

Employees can sign in on your own domain, with your logo and brand colours. It feels like part of your company, rather than another external tool they have been told to use.

  • Your own domain with one DNS record. The setup guides you through it and the certificate renews automatically.
  • Logo, colour, font and dark mode. Outgoing emails can carry your branding too.
  • A separate domain for your public help centre. Customers stay in your brand as well.

Help Centre

If customers ask it too, do not write the answer twice.

Publish selected parts of the knowledge base as a public help centre. There is no second system to maintain and no duplicate version of the same information.

  • Several help centres for different audiences. One for customers, one for partners, one for franchisees.
  • Each on its own address. Use your domain, not ours.
  • One source, two views. Update the internal document and the public article updates too.
  • Searchable and on brand. Your colours, logo, welcome text and search.

Why different

You should not have to choose between flexibility and accountability.

Drive and Notion are flexible, but they were not built for structured onboarding. Traditional LMS platforms track progress, but force content into rigid course structures. Corganize sits between the two.

How it starts

Three steps and you already have something useful.

1

Bring in what already exists

Word, PDF, Notion or a whole folder. You do not begin with an empty platform: your existing company knowledge becomes usable content straight away.

2

Organise it the way your business works

Use your own folder names and structure. The same content can become onboarding, internal knowledge and, if you want, public help.

3

Give people what they need

Everyone sees what applies to them. You see where they are without having to ask for an update.

Security

Your company knowledge has value. We treat it that way.

Your processes, customer handling and internal ways of working can be part of your competitive advantage. Access control and audit history are therefore built into the platform, not added as an afterthought.

Watermarks on training material

The reader’s name can appear subtly on each page. If a screenshot gets shared, you can see which account it came from.

Copy protection

Sensitive content can be protected against text selection and copying. Downloads can be controlled separately for each folder.

Access is logged

See who opened what and when. Suspicious patterns, such as bulk copying, can be flagged separately.

AI works from your material

The assistant answers from the content you make available to it and shows its source. We do not train models on your company content.

Company data stays separated

Each company operates in its own isolated space, enforced at database level as well as in the application.

Sign-in on your terms

Use Google sign-in or passwords, and restrict access to email addresses you approve. Support access is only available when you grant it, and can be time limited.

Pricing

Frequently asked questions

We already use Google Drive or Notion. Why do we need another system?

Drive and Notion are good places to store knowledge. Corganize starts when that knowledge needs to be passed to someone: assign it, track progress, check understanding and see who acknowledged what.

What if we do not have time to document everything?

You do not have to do it all at once. Import what already exists, then record the things that still live in people’s heads. Corganize can turn audio or screen recordings into drafts for you.

How long before it is actually useful?

If you already have material, you can have content ready to assign on day one. There is no months-long implementation project and no dedicated IT team required.

Do we need an IT person?

No. You start on your own Corganize address (yourcompany.corganize.com). If you want your own domain, it takes one DNS record and the setup guides you through it.

What happens to our content if we cancel?

Your content can be exported. Your company knowledge is yours, not something we lock inside the platform.

Can the AI see our material?

It only uses the content you make available to it to answer your team’s questions. We do not train models on your company content.

More questions? The full Help Centre has detailed guidance for every part of the platform.
